How we work
How does an engagement start?
A free 90-minute discovery call, in person or over video. We’ll walk through your business, identify the two or three biggest friction points, and decide together whether HeimMax is the right fit. We’ll then send you an Opportunity Report within 48 hours. This is a written summary of what we’d build, what it would cost, and how long it would take. No obligation to proceed.
How long does a typical project take?
Most projects ship in 2 to 10 weeks. A standalone AI agent can be live in 2 to 4 weeks. A bespoke software build runs 2 to 10 weeks depending on scope. A full-service bundle (website + software + marketing) is roughly 6 to 12 weeks. We work in fixed timelines and tell you up front if something will run longer.
Do you work with businesses outside Melbourne?
Yes. We’re based in Melbourne and prefer to do discovery calls in person when we can. Build work happens remotely either way. We’ve worked with clients across Australia.
Do you offer ongoing support?
Yes, but only if you want it. Most of what we build is designed to run itself. If something breaks or needs updating, we offer maintenance packages with complimentary check-ins. We don’t lock you into ongoing fees as a condition of working with us.

What’s the difference between bespoke software and SaaS?
SaaS is built for the average business and you rent it monthly. Bespoke software is built specifically for your business and you own it outright. Off-the-shelf tools are great when they fit your process. When they don’t, you spend time bending your business to fit the tool. HeimMax flips that for you.
What are AI agents and when do I need one?
An AI agent is a piece of software that handles a specific task on your behalf: reading email, triaging calls, drafting quotes, following up leads. You need one when the same task happens often enough that doing it manually costs you real time or accuracy. We’ll tell you if an agent is the right answer for your problem, or if something simpler will do.
Can you fix or finish something we’ve already started?
Often, yes. If you have a half-built tool, a stalled website, or a stack of tools that don’t talk to each other, we can take a look. We’ll tell you whether finishing it is the right call or whether starting fresh would be faster.
Ownership
Do I own what you build?
Yes. You own the work outright once it’s paid for in full. No per-seat fees, no SaaS rental, no rights retained by us. The code is yours, the systems are yours, the data is yours.
What if it doesn’t work?
We test before we ship. After delivery, we offer a 30-day warranty period during which we fix defects at no charge. We also run a complimentary check-in 30 days after launch to make sure things are landing.
Will I be locked into an ongoing subscription?
No. You buy systems, not subscriptions. The work we build is paid for once, owned outright, and runs on infrastructure you control. No per-seat fees, no monthly licences, no lock-in. If you want ongoing support, that’s a separate maintenance package you can take or leave.
